Registrar's Office
The Student Affairs Office manages the administrative processes for students at Associate, Undergraduate, Graduate, and Doctoral levels within the framework of current legislation. It handles all official procedures related to ÖSYM, YÖK, KYK, and ASAL, and maintains student records from initial registration to graduation.
Operations Conducted by the Unit:
- Registration and Student Files: Executing the registration process and creating personal files for students admitted through ÖSYM (YKS-DGS), Lateral Transfer (Internal/Inter-institutional), Special Student status, Graduate programs, Double Major, and Minor programs.
- Status Management: Handling procedures for students with status changes (withdrawal/de-registration, leave of absence/registration freeze, re-registration, graduation, etc.) and performing mandatory YÖKSİS notifications.
- Certification: Preparation of Student Certificates (Enrollment Verification).
- Correspondence and Archiving: Writing, archiving, and tracking internal and external official correspondence, and managing postal services.
- Academic Records and Systems: Processing grade corrections, managing make-up exams and three-course exams; handling exemptions for Turkish and English Preparatory Programs; and defining courses, instructors, programs, and the Academic Calendar into the student information system.
- Web and Communication Management: Monitoring and updating the "Frequently Asked Questions," "Prospective Student," and "Student Affairs" pages on the university website; publishing announcements; and managing, forwarding, and reporting incoming emails.
- Reporting and Statistics: Preparing Foundation Audit Forms, Annual Activity Reports, and various data/statistics requested by the Rectorate and other official institutions; and reporting YKS-DGS and Lateral Transfer quotas to YÖKSİS.
- Graduation and Diploma Services: Finalizing graduation procedures, printing diplomas, and managing the registration/certification process (e.g., with the Ministry of Health / Provincial Health Directorate); preparing Diploma Supplements, Honor, and High Honor certificates; maintaining diploma ledgers; and managing diploma distribution and lost diploma procedures.
